Disclaimer:
This article is intended as a general guideline to help cheer coaches traveling to the Cheerleading Worlds in Florida for the first time. It is based on common practices and advice; however, every situation is unique, and details may vary. Coaches, teams, and parents should always conduct their research, verify travel requirements, and seek professional advice regarding travel arrangements, insurance, and legal responsibilities. The information provided here does not replace personalised planning or the need to consult relevant experts.
Organising Flights, Hotels, and Transfers
When planning a large trip like this, it’s important to streamline all logistics. Booking flights, hotels, and transfers together is highly recommended. Many teams find it easier when everyone flies out and returns on the same schedule. This not only strengthens team dynamics but also diminishes confusion.
CFHTT Pro Tip: Keep control of the itinerary. While some parents may want input on travel plans, giving too many options can lead to unnecessary complications. Remind your parents, athletes, and staff that this is not a holiday—it’s a work trip. Remember, this is your trip, and you control the schedule.
Mistakes to Avoid:
- It is risky to let parents or athletes handle their travel arrangements separately. This can lead to issues with delayed arrivals. Keep everything under one booking for streamline process.
Deciding on Team-Only or Mixed Travel

You’ll need to decide whether you want to travel with just the team and chaperones or include parents. Both have pros and cons.
Team-Only: This option allows you to focus solely on competition and training. It works well for experienced teams, as you won’t need to cater to various family schedules or preferences. It’s cost-effective and keeps your group focused.
Team with Parents: Having parents along can be comforting for younger teams and helps share responsibilities. However, it can add more complexity to your schedule, as families may want to combine this with a vacation.
Hybrid: Some teams choose a mix of both, allowing parents to travel with the team but stay in separate accommodation. This way, parents can enjoy Florida as a holiday while you focus on your athletes.
Mistakes to Avoid:
- Overloading your team’s schedule with too many external distractions.
Flights – When to Book
“Most US carriers allow you to book cash tickets up to 11 months in advance. Booking flights far in advance won’t necessarily save you money.”How far in advance can you book a flight?/ Skyscanner/2023
Mistakes to Avoid: When it comes to flights, taking a risk and booking your ticket last minute can be tempting, but CFHTT believes that although you may not save money, knowing that the tickets are booked and that they’re one less thing to worry about should be the priority. In the lead-up to traveling and competing at Worlds, your focus should be on your athletes’ mindset and ensuring a smooth transition from the UK to the US.
Get Permission to Take Your Athletes Abroad
“Before taking a child abroad, you must obtain permission from everyone with parental responsibility, or from a court if necessary.Taking a child abroad without this permission is considered child abduction. Get permission to take a child abroad/Gov/2024
Mistakes to avoid : Athletes 17 and under require parental permission to travel abroad. It is also important to get medical consent in case of emergencies where you can not get in contact with the parent.
Accommodation Options: Villas vs. Hotels
When choosing between villas and hotels for your team, each option has distinct advantages.
Hotels offer convenience, with 24/7 assistance, amenities like gyms and pools, and proximity to tourist spots.
They provide flexible booking options, meal packages and prompt maintenance services.
Villas, on the other hand, offer more space, privacy, and flexibility, making them ideal for large groups. Villas typically come with kitchens, allowing for cost-saving meals, and are located in quieter, more secluded areas.
CFHTT pro Tip:
When deciding, consider your team’s size, budget, and the facilities you’ll need for the competition. In Orlando, for example, the Kissimmee and Davenport areas feature over 3,000 villas, which can be more cost-effective for large groups. However, consider additional costs such as pool heating, food, and transportation.
Visa Requirements and Important Documents
Every non-US citizen traveling to the US will need an ESTA (Electronic System for Travel Authorization), an online system that tells you in advance whether you’re eligible to travel to the United States .
The ESTA costs $21 and lasts two years.
Please be aware:
- “You cannot apply for an ESTA after visiting Cuba since January 12, 2021.
- You are not eligible for a ESTA if you have traveled to Iran, Iraq, Libya, North Korea, Somalia, Sudan, Syria, or Yemen unless for military or official purposes.
- If you have a criminal record.” Can I get an ESTA if I’ve been to Cuba?/nnuimmigration/2024
Mistakes to Avoid:
- Visas should be applied for as soon as possible—don’t wait until the last 72 hours before departure.
- Important: Ensure that the passport number on the ESTA matches the passport your athletes and staff will be traveling with. If a passport has been renewed, you must apply for a new ESTA.
- When researching ESTA, beware of sites that pretend to be official. These websites charge additional fees. Always use the official ESTA website.
Travel Insurance
Travel insurance is an absolute must. You should source insurance policies tailored to cheerleading activates . For teams competing at Worlds or other global events, ensure your policy is international and valid in the U.S.
When deciding between group travel insurance and individual travel insurance, consider the specific needs of your staff and athletes for the trip.
Group travel insurance can be cost-effective, tailored to Cheerleading specifically and ensures everyone is covered under one policy.
However, group insurance has its limits, lacks flexibility, and may not cover pre-existing conditions. If individuals fails to disclose pre-existing conditions, it could void the policy for the entire team.
Individual travel insurance allows each person to tailor their policy to their own needs, providing greater flexibility and higher coverage limits.
CFHTT Pro Tip:
CFHTT recommends that each individual takes responsibility for their own travel insurance.
Packing Essentials for Athletes

CFHTT Pro Tip:
Make sure all athletes pack their uniforms, shoes, bows, training gear, and essentials in their hand luggage. You don’t need the stress of lost uniforms on your trip to Worlds.
Transportation Tips

Car rental is essential for getting around Orlando. If you plan to rent a van for your team, be mindful of specific requirements in Orlando.
“To rent a car you must have your driving license, passport and a credit card. The minimum age for car hire is 21, but some agencies will charge more for drivers under 25 years of age.” Visit Florida, Tips for Visitors Driving in Florida/2024
Mistakes to Avoid:
- Make sure you have the necessary documents.
- Be aware that some agencies charge extra for drivers under 25.
- Also, budget for tolls and ensure the vehicle has air conditioning to deal with Orlando’s hot, humid climate.
- For teams with large amounts of luggage, it may be more efficient to rent multiple smaller vehicles rather than one large one.
Food and Extras
While competing in Orlando, your team will need to eat! Make sure your athletes’ budget includes meals, snacks, and any dietary requirements. You may also want to factor in the cost of theme park tickets (if your team wants to explore Disney or Universal Studios during downtime), gym rental for extra practices, and, of course, any souvenirs.
Mistakes to Avoid:
- Forgetting to budget for food and entertainment. Orlando can be expensive, especially during competition season, so plan accordingly
CFHTT Pro Tip:
Remember this is a work trip so after training in the heat your athlete will need to relaxes don’t plan meal out every night but it is important to have at least one meal at as celebration and in honour of the athlete and staff who are at world peferbale before worlds start to give you team a boost of confidents
